What is needed to obtain a basic quote?

We need to know the type of patient (pediatric, adult, bariatric), the patient’s condition, their medical needs, pick up and drop off address(es), and the estimated date for transport.

What is the process to schedule transport?

What are your network capabilities?

Do you have 24-7 support?

Yes, we have 24/7 dedicated flight coordinator specialists assigned to each case. We encourage everybody to call our flight coordinators at all times for any questions or concerns as air medical transports can be overwhelming. The best way to avoid any mistakes is having direct communication with your flight coordinator specialist and providing as much notice as possible with the right documentation for proper arrangements and a smooth coordination to take place.

What type of transports do you handle?

We handle domestic and international pre-scheduled, non-emergency, fixed-wing air ambulance, international commercial stretcher and medical escort on commercial planes.

Do you transport for urgent emergencies?

No, we handle pre-scheduled non-emergency medical transportation. If you have an emergency transport or an immediate life-threatening situation, always call your local emergency service (911) to be transported to the closest appropriate facility for stabilization. All our trips are based on the availability at the time of booking. We suggest as much notice as possible; for air ambulance domestic transports, we recommend at least 24hours of advance notice, and for international trips at least 24 to 72hrs notice, depending on the distance and location.

What is fixed-wing air ambulance?

Fixed-wing air ambulances are specialized medical EMS airplanes that handle domestic or international transports over longer travel distances or terrain impractical for ground and helicopter transports. The word fixed-wing stands for wings that do not move and the type of aircraft that generates forward thrust powered by propeller-driven or jet engines. This type of ambulance transport is widely used for trips longer than 300 miles away when there is safe access to airport runways. Fixed-wing air ambulance transports are essential for their increased range for carrying patients between states and countries compared with other medical transport modes. Fixed-wing air ambulance transports are used in combination with ground ambulances to complete the bed-to-bed transfer from and to each airport.

Does private insurance cover for air medical transport?

The main factor determining whether an air ambulance transport is covered by insurance is whether the transport is deemed medically necessary. Most insurances only provide coverage for the air ambulance to a higher level of care, closest appropriate facility by the least expensive mode of transportation, and when the other modes of transport are contraindicated for the patient.

At Air Medical Transport, based on our experience we understand it is not always clear whether this requirement is met, therefore, a billing department specialist will be happy to assist with:
a) Contacting the private insurance company to determine coverage
b) Filing the claim appropriately on the patient’s behalf
c) Follow up on the claim until it is resolved.

When the transport is medically necessary and meets the private insurance criteria for coverage, our billing department may require a deposit before undertaking the expense associated with planning and beginning services. Suppose the client’s/patient’s insurance company, health plan, or other third-party payor makes full payment to Air Medical Transport for services rendered. In that case, the client may be reimbursed its good faith advance payment less any co-insurance or co-deductible from Air Medical Transport.

What type of patients do you transport?

We handle all types of patients as per the availability of the requested areas. Pediatrics, adults, geriatrics, bariatrics, etc. Some specialty air transports may require extra time as per the availability and capabilities on each location.

How do you transport bariatric patients?

Most standard size aircraft stretchers are made to sustain up to 350lbs or 159kgs of maximum weight; Bed bound bariatric patients that weigh more than 300lbs or 136kgs and need to travel by air, will need a fit measurement and assessment for the team to ensure a safe loading, unloading to and from the aircraft with the appropriate equipment. Based on the assessment details the clinical team will determinate the appropriate transport mode, type of stretcher, and bariatric aircraft. How do I pay for transport?

You can pay by credit card on the phone or our website or via bank wire transfer. As soon as the payment and transport details are received on account, we start the booking process.

Can a family member accompany the patient?

Yes, as long as the patient is not critical, does not require isolation, and it is safe for the patient. Most transports (domestic and international) take a family member on board while additional family members require approval based on medical assessment and the type of aircraft.

Can luggage be taken in the ambulance?

Yes, on most cases only the equivalent of one small carry-on size handbag and a small personal item can be brought for the patient and another for the companion.

Do you handle international medical transports ?

Yes, we do, via air ambulance, commercial stretcher and medical escort, all pending on the availability, the patient’s condition, the patient’s mobility, the origin and destination.

Do you handle long-distance air medical transports?

Yes, we do. Always pending on the availability and the patient’s requirements. For long distance international air ambulance we suggest at least 48 to 72hrs notice. For international commercial stretcher and medical escort transports we suggest at least a 5 days to a full week notice as it will depend on the airline’s availability and approval.

Can a positive Covid-19 patient be transported?

Yes, the transport will depend on the availability and capabilities of the specific route or location needed for transportation. Because of Covid-19 regulations, some countries may have different requirements. We suggest to provide as much notice for reservation on these cases.

Can a family member accompany a Covid-19 positive patient during transport?

Yes, as long as the companion has a current negative Covid-19 test, it is up to the medical team based on the patient’s safety protocols, local regulations to allow the companion onboard at their own risk.

What documentation do I need for domestic transfers?

Your government-issued ID, driver’s license, birth certificate, or a photo ID identifying yourself. Regulations require the positive identification of each passenger at the time of booking.

What documentation do I need for international transfers?

For international transport, at the time of booking you and your companion (if any) will need to provide a legible document or picture of your current passports and visas (if applicable) and a Covid-19 result test within 72hrs from the date of transport. Regulations require the positive identification of each passenger at the time of booking and a security check with the Transportation Security Agency (TSA).

Can I be transported internationally without a passport?

If you are returning to your own country of citizenship, a current government photo ID may work in some cases. We will have to submit it for clearance ahead of time upon booking. Otherwise, a consular certification letter for medical transport will be needed.

How do I submit my documentation for booking?

You can call our office and request a secure email or use our site to connect via WhatsApp to safely submit your information. Additionally, you may send it using our website via your mobile, or computer when requesting a booking.

Is my information secure with Air Medical Transport?

Air Medical Transport fully complies with HIPAA regulations, releasing only the information needed to reasonably coordinate each air mission properly. Our clients’ and patient’s identifiable information is always secured based on the latest regulatory standards.
